Privacy Policy

1. Introduction

This application is provided to delegates attending an event. We are committed to protecting your personal information and being transparent about how it is handled. This policy explains what data is collected, how it is stored, and your rights in relation to it.

2. Data Encryption

All personal information stored in this application — including your name, email address, and contact number — is encrypted at rest. This means your data is transformed into an unreadable format before it is stored in the database, and can only be read by authorised systems with the correct decryption key. No personal data is stored in plain text.

3. Voluntary Participation

Providing information through this application is completely voluntary. You are not required to submit any information beyond what is necessary to access the application. Where optional fields are provided (such as your LinkedIn profile, website, or a profile photograph), you may choose whether or not to complete them.

4. Facial Recognition

The admin application offers an optional facial recognition feature that allows you to mark your attendance quickly and conveniently.

If you wish to mark your attendance using facial recognition, you will need to capture your face descriptors — mathematical representations derived from your facial geometry. We do not store photographs or images of your face. Only your encrypted face descriptors are retained, which cannot be reverse-engineered to reconstruct an image of you.

Facial recognition attendance is completely optional. If you do not wish to use this feature, you are not required to capture your descriptors, and your ability to access this application, and mark attendance through other means will not be affected in any way.

5. Data We Collect

The following categories of information may be collected and stored:

  • Full name (prepopulated)
  • Email address (prepopulated)
  • Contact number (optional)
  • Organisation and job title (optional)
  • Professional information (skills, job description) (optional)
  • Optional profile photographs (optional)
  • Optional professional links (LinkedIn, website) (optional)
  • Content you post or comment on within the application (optional)
  • Facial descriptors (optional, for facial recognition attendance)
6. How Your Data Is Used

Your information is used solely for the following purposes:

  • Facilitating your access to the event and its features
  • Enabling networking between delegates (where you have chosen to share information)
  • Recording event attendance
  • Displaying the event programme and associated content

Your data is not sold, shared with third parties, or used for marketing purposes.

7. Data Retention

Your data is retained for the duration of the event and for a reasonable period thereafter for record-keeping purposes. You may request anonymisation of your personal information by contacting the event administrator. This will remove any personally identifiable information from your data, while retaining non-identifiable information for aggregate analysis and reporting. This step is irreversible, and once your data has been anonymised, it cannot be linked back to you in any way, and you will lose the ability to access the application or any content associated with your account for future events.

8. Your Rights

You have the right to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate information
  • Request anonymisation of your personal information

To exercise any of these rights, please contact the event administrator.

9. Security

We take the security of your data seriously. In addition to encryption at rest, access to the application is restricted to registered event delegates only. Sessions expire automatically after a period of inactivity to prevent unauthorised access on shared devices.
